Operations Administrative Assistant

This role will provide administrative support to the Operations Manager assuring the smooth flow of projects and assisting with client and volunteer communications.

SUPERVISED AND SUPPORTED BY:  Operations Manager

 

DUTIES:

  • Coordinate with Executive Administrative Assistant on application approvals or rejections.

  • Post calls for volunteers on Volunteer Hub for upcoming projects.

  • File Site Surveys in SAWs Google Drive.

  • Contact client to confirm build dates.

  • File Building Permits if required.

  • Record in BuilderTrend completed tasks for site surveys, prebuilds, installations, before and after photos of projects, and sending Follow Up packages.

  • Close project in BuilderTrend when complete.

 

QUALIFICATIONS:

  • Administrative experience 

  • Familiarity with all processes within the operations phase of workflow.

  • Good communication skills

  • Experience using software such as Word or Excel and online apps like Zoom

  • Experience with the Internet and a reliable connection

  • Must be a registered volunteer. Register at www.SAWsVA.org.​

TIME COMMITMENT REQUIRED:

  • 5-7 hours per week

 

LOCATION:

  • Work can be performed from home.

 

TRAINING:

  • Training will be provided in the use of the project management system, BuilderTrend.
